Invitation Letter Guidance
Genuine, honest invitation-letter drafting and checklist support for visitor and family visas.
An invitation letter is a supporting document written by a host abroad (a relative, friend or sponsor) inviting a guest to visit them. For many visitor and family visa applications it helps the visa officer understand the genuine purpose of the visit. Visa Connection helps you understand and prepare a correct, honest invitation letter and the documents that go with it.
What is an invitation letter?
It is a genuine letter from your host confirming who is inviting you, why, for how long, where you will stay and how the visit will be supported. It is a supporting document — not a guarantee of a visa.
When is it needed?
- Family or friend visit visas (visitor visas)
- Some tourist visas where a host is involved
- Situations where a sponsor supports the trip
Host details usually required
- Host’s full name and relationship to you
- Host’s status abroad (citizen, PR or valid visa)
- Host’s address and contact details
- Host’s willingness to support accommodation, where applicable
Guest (applicant) details usually required
- Applicant’s full name and passport details
- Relationship to the host
- Purpose and planned dates of the visit
- Ties to India that show intention to return
Purpose of visit
The letter should clearly and truthfully state the reason for the visit — for example a family function, holiday, or spending time with relatives — along with realistic travel dates.
Accommodation and financial support
It should mention where the guest will stay and, if the host is supporting the trip, how expenses will be handled. Any financial claims must be genuine and supported by real documents.
Documents the host may attach
- Proof of the host’s status abroad
- Proof of address
- Financial documents, where the host is sponsoring
- Any relationship proof, where relevant
Common mistakes to avoid
- Vague or exaggerated purpose of visit
- Financial support that cannot be genuinely proven
- Mismatched dates or details across documents
- Copy-paste letters that do not reflect the real situation
